Frisco Event Transportation: What It Costs, How Far Ahead to Book, and What Fits Your Group
Most articles about event transportation are advertisements with a headline on top. This one is written by a company that has been running Frisco since 1998, and it answers the questions people actually call and ask.
Why event trips are booked hourly, not one-way
This confuses people more than anything else, so it goes first.
An airport run is priced point to point. You go from A to B and that is the whole job. There is no hourly minimum on an airport transfer, any day, any hour.
An event is different, and the reason is physical rather than commercial. The roads around The Star, Toyota Stadium, or Comerica Center are gridlocked for an hour after a venue empties. A vehicle that leaves after drop-off cannot reliably get back in. And if we release your vehicle to another booking in the gap, we cannot promise it is free when you want to leave.
So event trips are booked as a block of time. The vehicle and chauffeur stay with you.
What the minimums actually are
- Friday and Saturday evenings: four hours on sedans, SUVs, and limousines. Five to six hours on larger vehicles.
- Proms, concerts, and sporting events: five to six hours.
- Airport transfers: no minimum at all.
- Private jet and FBO arrivals: two hours, because aircraft land when they land.
Anything outside these can usually be worked out with management. Call and ask.
What the block buys you: the same vehicle and chauffeur all evening, somewhere secure to leave coats and gifts, stops along the way without rebooking, and a guaranteed ride home at the hour you choose rather than whenever a car becomes available.
How far ahead to book
Prom: four to six weeks minimum. Frisco competes with McKinney, Allen, Plano, and Prosper for the same fleet on the same handful of spring Saturdays. Large vehicles go first, and once they are gone they are gone.
Weddings: as soon as you have a date. Spring and autumn Saturdays book furthest out.
Concerts and games: two to three weeks for normal dates. Longer for anything at capacity.
Corporate holiday parties: September or October. By Halloween the good December dates are taken. Most people learn this in November.
Airport runs: a few days is usually fine, though standing accounts book once and stop thinking about it.
Which vehicle actually fits
The most common booking mistake is counting seats and forgetting luggage. A vehicle that seats six seats four once everyone has a bag.
| Vehicle | Passengers | Typically booked for |
|---|---|---|
| Executive sedan | 3 | Airport runs, solo business travel |
| Cadillac Escalade ESV | 6, or 4 with full luggage | Airport runs with bags, small groups |
| Executive Sprinter | 14 | Corporate teams, conference shuttles |
| Sprinter limo van | 13, room for 18 bags | Weddings, birthdays, nights out |
| Stretch limousine | See fleet page | Wedding photos, prom arrivals |
| Limo bus | 20 or 35 | Prom groups, large celebrations |
| Minibus | 20 to 36 | Guest shuttles, corporate loops |
| Midsize coach | 44 | Conferences, large weddings |
| MCI motorcoach | 56 | Long-distance charter, team travel |
For a wedding with forty guests, the question is not whether forty people fit in something. It is whether they fit in one thing, so nobody is following in a second car and nobody arrives ten minutes late. See the full fleet.
Where this comes up in Frisco
The Star for corporate events and Cowboys game days. Toyota Stadium for FC Dallas. Comerica Center for concerts and Stars events. PGA Frisco and Fields Ranch for tournament weeks and corporate golf. Stonebriar Centre and the Rail District for evenings with several stops.
And the hotels: the Omni PGA Frisco Resort, Omni Frisco at The Star, the Westin Stonebriar, Hall Park Hotel, Hyatt Regency. Wedding blocks routinely split across two or three of them, which is why guest shuttles run on a published timetable rather than an improvised one.

What it costs, honestly
Nobody can quote you a number in a blog post, and any company that publishes a flat price is either hiding conditions or does not run a real fleet. Price depends on the vehicle, the hours, the distance, and the date.
What you can insist on is a written quote before you commit. Rate, vehicle, and terms confirmed up front, with no surge pricing. If a company will not put it in writing, that tells you something.
Two things that are standard across the industry and worth knowing: a deposit is required to hold a date and is generally non-refundable, and cancellation windows vary by vehicle. Ours run 48 hours on sedans and SUVs, seven days on Sprinter vans, and fourteen days on minibuses and coaches, because a coach held for your date is a coach turned away from someone else’s.
When a rideshare is genuinely the better call
One or two people, a short hop, no bags, no deadline. Take the app. It will be cheaper and faster to hail, and we will tell you so on the phone.
Where it stops working is groups, deadlines, and late nights. A rideshare driver waits about five minutes, because sitting still earns them nothing. On a wedding night or after a concert lets out, five minutes is not enough, and surge pricing arrives exactly when everyone needs a car at once.
Six questions worth asking any company
- What is the minimum, and why? A good operator explains the reason. A bad one just states the number.
- Is the quote fixed, or does it move?
- What is the cancellation window for my vehicle?
- Who answers the phone at 11 p.m. if something changes?
- How are your chauffeurs screened? Background check, drug screening, and ongoing driving record monitoring should all be yes.
- How many passengers with luggage, not just how many seats?
A company that answers all six clearly is probably fine. One that gets vague on minimums and pricing is telling you something.
