How it works

How we work a private arrival

Private schedules move. A commercial flight lands within a window; a Gulfstream lands when it lands. Everything below exists because of that one difference.

  • Tail number tracking. Give us the tail and we watch it. Where an aircraft is blocked or otherwise untrackable, we confirm the arrival directly with the FBO front desk instead of guessing from a schedule.
  • Planeside where the FBO allows it. Ramp access rules differ by field and by operator. Where vehicles are permitted on the ramp, we meet the aircraft at the steps. Where they are not, we are inside the terminal with a name board.
  • Meet-and-greet is complimentary at FBOs. No add-on charge for a private arrival, unlike a commercial terminal.
  • Arrivals bill hourly with a two-hour minimum. That is deliberate. A ninety-minute slip should not turn into an argument about a point-to-point fare, and holding the vehicle is the only way to guarantee it is there when the aircraft is.
  • Departures are point-to-point unless wait time runs past thirty minutes, which converts the trip to hourly at your call and subject to schedule.
  • Unmarked vehicles as standard. No livery, no signage, nothing that identifies a car service on the ramp or outside a residence.
  • NDAs on request, and they are routine for us rather than an exception we have to think about.
  • Live dispatch, twenty-four hours. Not an answering service. A 2 a.m. diversion to a different field gets a person who can move a vehicle.

One of the busiest business aviation fields in the country, and six miles from downtown Dallas. If your meeting is in the city, this is usually the shortest ground leg you will find.

The CAA preferred FBO on the field, operating 24/7 across a 53-acre campus with two executive terminals. Long-standing flight department base.

Love Field runs about fifteen minutes to downtown, twenty-five to thirty to the Galleria and Legacy, and thirty-five to Frisco. We build the traffic pattern into the schedule rather than quoting a best case.

Addison Airport (KADS)

Addison FBOs

The busiest general aviation field in North Texas, with over five hundred based aircraft and a hundred and fifty of them jets. The default choice for North Dallas, the Galleria corridor, Plano, and Frisco.

Million Air Dallas

The CAA preferred FBO at Addison, with a dedicated international services ramp for customs clearance into the Dallas area.

Galaxy FBO

Addison sits about twenty minutes from downtown Dallas, fifteen from Plano, twenty from Frisco, and ten from Carrollton. For a resident of the northern suburbs it is almost always the faster arrival than Love Field.

Fort Worth Meacham (KFTW)

Texas Jet, American Aero FTW, and Cornerstone Flight Center. Five miles from downtown Fort Worth, a port of entry, with a 24-hour tower.

Fort Worth Alliance (KAFW)

An 11,000-foot runway that takes anything flying, plus customs. Right for heavy aircraft, the North Loop corporate corridor, and Texas Motor Speedway weekends.

Dallas Executive (KRBD)

Southwest of downtown and considerably quieter. A good option when Love Field is congested or a client wants a low-profile arrival.

Denton Enterprise (KDTO)

North of the metroplex, minutes from Denton, Argyle, and Flower Mound.

Arlington Municipal (KGKY)

The closest field to AT&T Stadium and Globe Life Field. Game day and event arrivals.

Grand Prairie (KGPM) & Fort Worth Spinks (KFWS)

Mid-cities and south Fort Worth coverage for lighter aircraft.

  • Multi-vehicle arrivals are normal. Two Escalades and a Sprinter meeting one aircraft is a routine booking, not a special request.

  • Luggage is planned, not hoped for. Tell us the bag count when you book. It is the single most common reason a vehicle turns out to be the wrong one.

  • FBO arrivals bill hourly with a two-hour minimum, because private schedules move and the vehicle is held for you.
  • Departures are point-to-point unless wait time runs past thirty minutes.
  • Commercial airport transfers carry no hourly minimum at all, any day, any hour. See airport transfers.
  • Long-distance and out-of-market runs are quoted garage to garage: time and miles from when the vehicle leaves the yard until it returns, including the empty positioning legs. Larger vehicles are quoted on a mileage rate that moves with fuel.
  • Overnight trips add lodging and per diem, itemized in the quote before you commit.
  • Account billing available. Consolidated monthly statements with trip detail, net-30 with approved credit and a PO.
  • Everything in writing before you book. You will never see a line on the invoice that was not in the quote.

Private aviation questions

Can you meet the aircraft planeside?

Where the FBO permits vehicles on the ramp, yes, and we meet the aircraft at the steps. Ramp access rules differ by field and by operator, so it is not something any car service can promise everywhere. Where access is not permitted, your chauffeur is inside the terminal with a name board. Either way, meet-and-greet at an FBO is complimentary.

How do you handle a schedule that moves?

We track the tail number where it is trackable, and confirm directly with the FBO front desk where it is not. Arrivals are billed hourly with a two-hour minimum for exactly this reason: the vehicle is held for you, so a ninety-minute slip does not become a dispute about a fixed fare. Dispatch is staffed by a person twenty-four hours a day, so a late-night diversion to a different field gets handled rather than left on voicemail.

Are your vehicles marked?

No. Every vehicle on the private aviation roster is unmarked. No livery, no signage, no company name on the ramp or in your driveway. NDAs are available on request and are routine for us rather than an exception.

What do you need to quote a trip?

Tail number, estimated arrival or departure time, which FBO and which field, passenger count, bag count, and the destination. That is enough for a written quote with the vehicle and rate confirmed. Bag count matters more than people expect, and it is the most common reason a vehicle turns out to be the wrong size.

Do you handle crew transport?

Yes, hotel to FBO and back on the crew's schedule. That includes the early shows and the late releases that are hardest to cover, which is where a lot of operators quietly decline. Recurring crew movements can run on a standing arrangement with monthly billing.

Can you run several vehicles for one aircraft?

Yes, and it is a routine booking rather than a special request. Two Escalades and a Sprinter meeting a single aircraft is a normal week for us. We can also match vehicles so a delegation arrives looking like one party.

Do you work with charter brokers?

Yes. We work as the ground leg on your booking with one point of contact, written confirmations, and no contact with your client behind you. Broker arrangements and standing accounts are both welcome.

Do you require a deposit?

Yes. All trips require a deposit to lock in the date and time, and deposits are non-refundable. Established corporate and broker accounts with approved credit are handled on consolidated monthly billing instead. Cancellation windows vary by vehicle and are listed on your signed confirmation.

How far will you travel from a Dallas FBO?

Up to about six hundred miles from base. That covers Houston, Galveston, Austin, San Antonio, and most of Texas and the surrounding states. Long-distance runs are quoted garage to garage, including the empty positioning legs, and overnight trips add lodging and per diem itemized in the quote.
